School Event and Outside Sales Coordinator

Quail Ridge Books is a large independent bookstore in Raleigh, NC, founded in 1984. Quail Institutional Sales is the department at Quail Ridge books that handles bulk book orders for schools and local organizations in the Raleigh area. This department also coordinates author visits in local schools and other local venues, and handles scheduling, book procurement, provision of sales kits and reconciliation post-event of sales and book returns for these events. We are seeking a team player to handle the off-site sales and school author visits.

Duties would include but not be limited to:

  • Working with publicists and school contacts, scheduling 50+ author visits per year, matching schools with appropriate authors.

  • Interacting with local organizations, scheduling 50+ off-site book-selling events, ranging from multi-day conferences to author appearances in local universities, businesses, churches, libraries, etc.

  • Maintaining constant correspondence with authors, publicists, and school contacts to plan events, handle event logistics, customer requests, book inventory and marketing needs.

  • Contacting publishers and distributors to procure books for events, ensuring appropriate quantities on hand for events, then handling timely returns of unsold stock back to publishers.

  • Creating flyers for pre-orders for school events and marketing for off-site sales.

  • Preparing sales kits for school and off-site contacts to use during events.

  • Reconciling sales kits, revenue and returned stock after events.

  • Occasionally handling off-site sales personally.

  • Maintaining spreadsheets with outside sales figures, commission figures etc.


  • Excellent time management skills and the ability to prioritize tasks in a constantly shifting environment

  • Attention to detail and strong organizational skills

  • Creative problem solver and self-starter; able to work with minimal supervision

  • Ability to bend, stoop and lift boxes up to 40 pounds

  • Strong communication skills both verbal and written

  • Be able to work well in a fast-paced deadline-oriented environment

  • Be able to work independently and with a cohesive team

  • Computer skills including Word, Excel and email

40 hours per week, with some nights and weekends required; hours and daily schedule will vary
