Mountains & Plains Independent Booksellers Association (MPIBA) is looking for an Operations Manager

The Operations Manager’s primary responsibility is to assist the Executive Director in achieving the goals set by the Board of Directors by overseeing day-to-day financial operations of the organization, coordinating membership event logistics, including the annual trade show and regional conferences, and maintaining membership and other databases.

Specific job duties include but are not limited to:

  • Financial Management

    • Pay association bills

    • Manage invoicing, collection, deposits, and bank account reconciliation

    • Manage payroll submissions, forms, taxes, etc.

  • Membership

    • Maintain membership files and databases, including Bookstore Online Database

    • Oversee membership renewal process

  • Manage email subscriber lists

  • Create and manage registration and submission forms

  • Maintain online publisher and sales rep database

  • Work with Executive Director to coordinate all aspects of the annual fall trade show and various additional meetings and conferences

    • Manage exhibitors and attendee registration and logistics

    • Manage schedule and event logistics

    • Invoice sponsors and publishers and pay vendor invoices

    • Oversee seasonal volunteers

  • Coordinate Reading the West Book Awards Program

    • Manage nominations and invoices

    • Coordinate book shipments to reading/selection committees

  • Holiday Catalog

    • Oversee advertising submissions, contracts and invoices

    • Manage bookstore imprint fulfillment and shipping

  • Meet regularly with Executive Director (and other staff if appropriate) for planning and organizational conversations

  • Attend board meetings when appropriate

  • Attend Fall Discovery Show, Spring Conferences, and other events as appropriate


Qualifications:

  • Proficiency with QuickBooks, WordPress (and WordPress Plugins), Constant Contact, Gmail and the Google Drive environment.

  • Proven financial management skills.

  • Ability to manage multiple projects and work effectively under deadline pressure.

  • Excellent attention to detail and strong organizational skills.

  • Excellent writing, communication, customer service, and interpersonal skills.

  • A flexible team player able to take on shifting responsibilities as needs arise.

  • Experience in bookselling, publishing, or related fields is extremely desirable.


The Operations Manager will work from a home office, but must live in Colorado, preferably in the metro-Denver area.

Salary range: $37,000 to $42,000 (commensurate with experience), plus 8% annual SEP contribution when possible, and in-home office reimbursement.

The Association was formed over 45 years ago in Denver and has grown to include booksellers in Arizona, Colorado, Kansas, Montana, Nebraska, Nevada, New Mexico, Oklahoma, South Dakota, Texas, Utah, and Wyoming.
