Books Are Magic seeks an organized, reliable, and affable individual to manage our Events team! The role is perfect for the candidate who is team-oriented, detail-oriented, and community-oriented, all in one! We are seeking a candidate who is able to wear many hats, balance and delegate tasks and deadlines with discretion, and who demonstrates an innovative, forward-thinking approach to event planning. Ideal candidates have excellent communication and troubleshooting skills, possess superb technical savviness, and thrives in a lively, off-beat team environment.

Job responsibilities:

EVENT ADMINISTRATION

  • Manage Events calendar:

    • Book events by responding to pitches received through event request form and directly from publishers and agencies

    • Plan out prospective events by writing and submitting pitches via Edelweiss, seasonally

    • Sustain ongoing relationships and correspondence with authors, publishers, venues, and community partners; coordinate all event details and logistics

    • Create and distribute all listings, book links, registration links, and graphics for each confirmed event

    • Collaborate with General Manager and Communications Director to coordinate and confirm offsite book sales and partnerships

    • Share event confirmations internally and externally with relevant parties

  • Communication & Leadership:

    • Coordinate event logistics and production with Events & Marketing teams, delegating tasks as needed

    • Write and distribute run-of-shows to staff, publishers, and authors

    • Coordinate with Video Editor to maintain Books Are Magic YouTube channel 

    • Coordinate event book orders with Events & Marketing Associate

    • Share weekly event reports and confirmations to Store Managers

    • Meet weekly with Events, Marketing, and Management teams to discuss pending and forthcoming event details

  • General:

    • Run 1-3 events per week

    • Coordinate author signings for event books

    • Use Adobe Photoshop templates to create promotional graphics for event listings; share with Marketing and Publicity teams

    • Record and maintain all reporting data and event statistics in relevant documents, sheets, and calendarS


BASIC RETAIL (as needed)

  • Assist customers and provide recommendations

  • Customer checkout

  • Shelve and organize book displays

  • Facilitate pick-up orders

  • Answer phones and emails

  • Write book blurbs for website, blog, shelf-talkers, Indie-Next and publishers


QUALIFICATIONS:

  • Previous literary events administration experience required

  • Zoom events experience or experience with comparable virtual conferencing/live streaming services required

  • G Suite and Adobe Photoshop proficiency required

  • Must be able to lift up to 40 pounds

  • Must be comfortable with public-facing work, as well as liaising with authors, publishers, venues, etc. 

  • Must be able to work flexible hours including evenings and occasionally weekends

  • Prior management or similar leadership experience a plus

  • Experience handling sound and/or video equipment a plus


Direct Supervisor: Store Managers and Store Owners

Schedule: Full-Time, 40 hours/week, Monday-Friday

Compensation: Salary range $40,000-48,000, with competitive benefits including subsidized healthcare, tax-free metrocard, professional development fund, and 2 weeks paid vacation
